Privacy Policy
This policy explains what information [[LEGAL ENTITY]] ("Obsidian Ledgers", "we", "us") collects through this website, why we collect it, how long we keep it, and the choices you have. It covers this website only. Information you share with us after engaging our services is governed by the engagement agreement we sign with you.
Information we collect
The consultation questionnaire
If you complete the consultation questionnaire, you choose to send us:
- Your first and last name, and your email address
- Your business name and industry
- Your annual revenue range, current bookkeeping setup, accounting software, and estimated monthly transaction volume
- Your top priority and preferred start timeline
- Anything you add in the free-text notes field
Only your name and email address are necessary. Every other field is optional, and the questionnaire can be submitted without them. Please do not send bank credentials, account numbers, tax identification numbers, or other sensitive financial details through this form — we will arrange a secure method for anything of that kind once we are working together.
If you email us
When you write to us directly, we receive your email address, your message, and anything you attach.
Automatically
Our hosting provider records standard technical information for every visit, including IP address, browser and device type, pages requested, and timestamps. This is used to serve the site, and to investigate errors and abuse.
What we do not do
- We do not sell, rent, or trade your information.
- We do not use advertising or tracking cookies, and we do not run behavioural analytics on this site.
- We do not send marketing email to people who have only submitted the questionnaire. We reply about your inquiry, and nothing else, unless you ask to hear from us.
How we use it
We use what you send us to respond to your inquiry, to prepare a proposal or suggested engagement, to hold the discovery call, and to keep records of our business correspondence. We also use it to detect and block automated spam submissions.
Who processes it on our behalf
We keep our supplier list short and use each only for the purpose described.
- Netlify hosts this website and receives and stores questionnaire submissions on our behalf, including its automated spam screening of those submissions.
- Google Fonts serves the typefaces used on this site. Loading a page requests those font files from Google's servers, which discloses your IP address to Google. No cookie is set for this purpose.
- Our email provider carries and stores correspondence with us.
These providers may store or process data outside your country, including in the United States. We do not authorise any of them to use your information for their own purposes.
How long we keep it
Questionnaire submissions from inquiries that do not become engagements are kept for up to 24 months so we can pick up the conversation if you return, and are then deleted. If you do become a client, your records are retained for as long as we work together and afterwards for the period our professional and tax obligations require. Submissions identified as spam are deleted automatically.
Your choices
You may ask us to give you a copy of the information we hold about you, correct it if it is wrong, or delete it. You may also ask us to stop using it. Write to rreynolds@obsidianledgers.com and we will respond within 30 days. We may need to keep certain records where the law requires it, and we will tell you if that applies.
Depending on where you live, you may have additional rights under laws such as the Illinois Personal Information Protection Act, the California Consumer Privacy Act, or the UK and EU General Data Protection Regulation. We honour these requests regardless of where you are based.
Security
This site is served over an encrypted connection, and access to submissions is limited to those who need it to respond to you. No method of transmission or storage is completely secure, which is why we ask you not to send sensitive financial details through the form.
Children
This site is intended for business owners and is not directed at children under 16. We do not knowingly collect their information.
Changes
If we change this policy we will update the effective date above. Material changes will be noted on this page.
